Accounting And Reporting Built For Not-For-Profits

Bookkeeping and accounting support, board reporting, grant and fund accountability, budgeting and forecasting, all delivered online.

Not-for-profits answer to more people than a business does: trustees, members, funders, donors and regulators. Each wants to know the money is looked after and used as intended. Our role is to make that easy to show.

We work with charities, trusts, societies and community organisations that want accurate books, clear reports and confidence at every board meeting. We are comfortable working with volunteer treasurers, part-time staff and busy managers, and we keep everything in plain language.

Who It Suits

Small community group or club: Simple, low-cost bookkeeping and accounting support, annual budget and year-end preparation.

Growing charity or trust: Monthly reporting, fund tracking, grant reporting, forecasting.

Larger not-for-profit: Board reporting, scenario modelling, controls, funder acquittals.

How We Work

Monthly support: a regular arrangement covering reconciliation, review and reporting for a set fee.

Project work: one-off jobs such as a Xero clean-up, budget, forecast or funder report.

As-needed support: ad hoc help when a question or deadline arises.

All pricing is quoted in writing after a free consultation.

Fully Online

Services are delivered by video, phone and email, with secure document sharing, so we can work with organisations anywhere in New Zealand.

Our Services

Accounting And Reporting Built Around Your Organisation

Bookkeeping and Accounting Support

Regular reconciliation and review so your records are accurate and up to date, whether data entry is done by staff, volunteers or a bookkeeper. We check coding and GST and follow up anything that looks wrong.

Board and Management Reporting

Trustees and committees need reports they can act on, not a page of numbers. We prepare monthly or quarterly packs with income and expenditure against budget and commentary, balance sheet and cash position, a funds and grants summary, key measures such as months of cash on hand, and points for the board to decide or watch.

Grant and Fund Reporting

Funders want to see that money was spent as agreed. We set up your accounts so each grant, fund or programme can be tracked separately, then prepare reports and acquittals that match funder requirements, including restricted and unrestricted fund tracking, programme and project reports and supporting schedules.

Budgeting and Forecasting

We prepare annual budgets and rolling cash flow forecasts, and can model scenarios such as a delayed grant, reduced funding, a new programme or a new staff role. Forecasts are presented so trustees can see the risk and the options, not just the numbers.

Three-Statement Financial Modelling

Fully integrated Profit and Loss, Balance Sheet and Cash Flow forecasts over five or ten years, built to your requirements. Ideal for strategic planning, funding applications, capital projects and board decision-making.

Year-End and Compliance Support

We prepare your records so year-end is straightforward. That includes reconciliations, accruals and balance-date schedules, and working alongside your reviewer or auditor. We can assist with the financial information you need for performance reporting and your annual return to Charities Services.

Payroll, GST and Donations

We can help with Xero payroll setup, GST returns and treatment of grants and donations, and with recording donations in a way that supports donee status where it applies.

Systems, Controls and Handovers

Volunteer treasurers change. We document your processes, set sensible approval and payment controls (including ApprovalMax where suitable), and make sure a new treasurer can pick up the books without starting again.

Charities Register Updates

Keeping your organisation's details on the Charities Services register accurate and up to date, including officer, contact and rules changes, so your charity stays compliant and your public record is current.

Accounting Cover and Relief Support

Stepping in when your accounts person is on leave, whether for a few weeks or an extended absence, so payments, reconciliations, reporting and deadlines continue without interruption.
